Refund & Cancellation Policy

PANCHMITRA FOUNDATION (“Panchmitra Foundation,” “the Foundation,” “we,” “us,” or “our”) is deeply grateful for every contribution made towards its charitable objectives and social initiatives.
Donations made to the Foundation constitute voluntary contributions towards charitable and social causes. Accordingly, donations are generally final and non-refundable, except in the limited circumstances expressly provided under this Policy.
This Refund & Cancellation Policy (“Policy”) sets out the circumstances in which a refund may be considered and the procedure for requesting cancellation of recurring donations.
1. General Policy
- All donations made to Panchmitra Foundation, whether one-time or recurring, are voluntary and, once successfully processed, are considered final and non-refundable, except in the circumstances specified under Clause 2 of this Policy.
- This Policy applies to donations made through the Foundation’s Website via the applicable online payment gateway and through any other online donation channel operated by Panchmitra Foundation.
- Donations are intended to support the charitable activities and objectives of the Foundation. Donors are therefore requested to carefully review the donation amount and transaction details before confirming a donation.
2. Circumstances Eligible for Refund
A refund may be considered only in the following cases, at the sole discretion of the Foundation:
a. Duplicate Payment
Where the same donation has inadvertently been paid more than once during a single transaction session, the duplicate amount may be considered for refund after verification.
b. Technical or Transaction Error
A refund may be considered where:
- An incorrect amount has been charged due to a technical error; or
- The donor’s account has been debited, but the corresponding donation has not been successfully recorded by the Foundation.
c. Unauthorised Transaction
A refund may be considered in cases of an alleged unauthorised donation transaction, subject to appropriate verification and the applicable rules and procedures of the relevant bank, payment gateway, or financial institution.
Except for the circumstances expressly stated above, donations will ordinarily not be eligible for refund.
3. Procedure for requesting a Refund
3.1 Refund requests must be submitted in writing to info@panchmitra.com within 7 (seven) days from the date of the relevant transaction.
3.2 The refund request should include sufficient details to enable the Foundation to verify the transaction, including:
- Donor’s name;
- Email address and/or mobile number used for the transaction;
- Donation amount;
- Transaction ID or payment reference number;
- Date of transaction; and
- Proof of payment or other relevant supporting documentation.
3.3 The Foundation will endeavour to acknowledge the refund request within 3 (three) business days of receipt.
3.4 The Foundation will complete its verification process within approximately 15 (fifteen) business days, subject to the availability of the necessary information and cooperation from the relevant payment gateway or financial institution.
3.5 Where a refund is approved, it will ordinarily be processed to the original mode of payment within 7–10 business days from the date of approval.
3.6 Actual crediting of the refunded amount may depend upon the processing timelines of the applicable payment gateway, bank, card issuer, or other financial institution. Panchmitra Foundation shall not be responsible for delays attributable to such third parties.
4. Cancellation of Recurring Donations
- Donors who have registered for recurring or monthly donations may request cancellation of future donations at any time by contacting the Foundation at info@panchmitra.com or, where available, by using the subscription or recurring-payment management facility provided by the relevant payment gateway.
- Cancellation will generally take effect from the next applicable billing cycle after the cancellation request has been successfully processed.
- Any donation that has already been processed before the effective date of cancellation shall remain non-refundable, except where the circumstances specified under Clause 2 apply.
- Donors are advised to submit cancellation requests sufficiently in advance of the next scheduled payment to allow reasonable processing time.
5. Tax Receipts on Refund
Where a refund is approved in respect of a donation for which an 80G tax receipt/certificate has already been issued:
- The donor shall return or destroy the original receipt/certificate, as applicable; and
- The Foundation may issue an appropriate cancellation or refund confirmation.
A donation that has been refunded shall not be eligible for any applicable tax deduction or exemption in respect of the refunded amount.
Donors are responsible for ensuring that any tax claims made in relation to donations are consistent with applicable tax laws and regulations.
